Overview

ContractorsPA is the ideal, mobile companion for:

  • Contractors
  • Freelancers
  • Project Managers

virtually anyone who demands a robust, easily managed solution to track the time and expenses involved in completing any Project or task.

Screens are easy to read with minimal text; keystroking is minimized. You can literally tap your way to creating and saving data. A Time-based Allocation [a 'block' of time worked, in hours] can require just two taps: one to create the basic data record, another to save it.

Time-based Categories describe how your time was spent, eg, Research, Fuse Box or even Exercising. An Allocation record requires a Project, the date, Category and time spent, in hours. The time can derive from an Hour+Minute spinner or the Punch Clock feature.

Customizable Lists
ContractorsPA provides fully customizable lists for your Projects. You can build different Time- and Expense-based Categories for each of your Projects.

Import Industry-Specific Categories
You can also import industry-specific sets of commonly-used Categories (eg, Architect, Plumber, Writer) to supplement the normal default Time- and Expense-based Categories that accompany ContractorsPA.

Need more? You can create an unlimited number of specific Categories that describe exactly how you work - and attach them to any specific Project to create customized Time- and Expense-based lists for that Project.

Invoices and Exporting Data
It's easy to see what work you have completed and, as importantly, what you've actually invoiced. An Invoice will *not* include any previously-billed item. Utilizing the Invoice feature prevents 'double-billing'.

You can export your data or create an Invoice via these formats:

  • Export [ASCII/tab-delimited file]
  • Invoice [embedded in email]
  • Invoice [ASCII/text file attached to an email]

The industry-standard ASCII/tab-delimited file can be imported/pasted into:

  • Excel
  • Google Sheets

Reports
The Reports screen provides four modes:

  • All
  • 1 Week
  • 4 Weeks
  • Custom

Each mode displays a scrolling table of your Allocations, either Time- or Expense-based. Each row represents an Allocation, showing the Client+Project, amount billed, date and Category. Invoiced Allocations can be removed from the scrolling display. A Summary view can be toggled On/Off.

Invoices are initiated from the Reports screen.

Filtering
The scrolling data tables can hold many rows of data. You can limit the rows to a single Client and/or Project with the easily accessible Filtering feature, available on the Time, Expense and Report screens. This is especially helpful when you have a Client with many Projects.

You can also de-activate, but not delete, any Project - and it will not display.

Time to Punch in - or Not
Time can be picked from an Hour+Minute spinner or directly calculated via the Punch Clock, a Start+Stop action designed to automatically record and save your data.

Hourly Billing Rate
Default settings include your own Hourly Billing Rate (HBR), which each new Client inherits and passes onto its individual, underlying Projects. The number of Client+Project relationships is unlimited - and HBRs can vary among your Projects and Clients.

You are NOT locked into a single HBR.

Any HBR is editable, whether it involves your own individual rate, the Client, the Project or any individual Time-based Allocation.

Preferences
The spinner for Time allocations can be configured to various minute-based increments. You can show your local Currency symbol. For active users, choose the Big Button mode for the Home screen to enlarge the primary buttons - and reduce the text displayed.

Billing Features
The Billing Rate Factor (BRF) allows you to adjust the applicable HBR for a particular Time-based Allocation on an 'as needed' basis, eg, set the BRF to 2.0 to charge double for work performed on a holiday; or to 0.50 if you charge half-rate for travel to/from the job.

Other features include a No Charge setting which tracks the time involved but does not charge for it. The Issue Credit feature allows you to record a refund as a specific Time-based Allocation.

You can assign a Minimum Charge, in Hours+Minutes, for any Project: when a new Allocation is created, your Minimum Charge will be entered as the default amount of time spent on the job.

The number of Time- or Expense-based Allocations is unlimited for any given Project.

Double-Billing
Double-billing is prevented through use of generated Invoice numbers; in effect, you cannot re-bill an already-Invoiced Allocation. Existing Invoices can be removed should you need to re-Invoice an Allocation.

Metrics
Metrics are provided for each Client and Project: # of Allocations (Time- and Expense-based), total Allocations, Allocations Invoiced and Allocations to-be-Invoiced.

Fee-based Projects
ContractorsPA works effectively with fee-based or 'turn-key' projects. For fixed-fee jobs, track your hours to determine how much you are actually making, when you are over budget and how many hours remain to fulfill the fee-based obligation. The Project-based Metric includes Fee-based data, where applicable.

Essentials

HOURLY BILLING RATE
Set your Hourly Billing Rate (HBR) at Home > Settings. Each new Client inherits this rate - and each new Project's default HBR is that of its Client. Any HBR is editable.

CLIENTS
Define your Client list at Home > Lists > Client.

PROJECTS
Manage Projects at Home > Lists > Project. A Project MUST have a Client.

CATEGORIES
Manage Time- and Expense-based Categories at Lists.

TRACK TIME
Track Time by tapping Home > Time button.

TRACK EXPENSES
Track Expenses by tapping Home > Expense button.

FILTERING
Review the Filtering feature at Home > Help > Filtering. This feature limits the data display to a single Client and/or Project.

AUTO+
Review the Auto+ feature at Home > Help > Auto+. This feature automatically populates a new Project's Time- or Expense Categories with pre-selected Categories.

1ST PICK
Review the 1st Pick feature at Home > Help > 1st Pick, which allows you to define a 'default' Category-assignment for new Time- or Expense-based Allocations

User Settings

ACCESS
Tap Home > Settings button. Additional settings can be found at Tools > Add'l Settings.

HOURLY BILLING RATE (HBR)
Your Hourly Billing Rate. Each new Client inherits this value as an initial default; and each new Project inherits its Client's HBR.

BRF INCR
the Billing Rate Factor increment. This is the increment of the BRF-available values. See Home > Help > BRF

MINUTE INCR
affects how finely you can set Time-based records, eg, 1, 5, or 15 minute increments. The Punch Clock feature offers an alternate method of calculating time spent.

MINIMUM CHG
minimum amount of time, in hours, charged for each TBA. This is the default value on new TBAs; it can be decreasted or increased.

EMAIL
default email address for sending reports. Each Client and Project has its own Email for the same purpose.

Clients

ACCESS
Tap Home > Lists > Client.

BEST PRACTICE
You MUST maintain a Client list. Add Projects, as needed, to any Client. The number of Projects allowed is unlimited. If you are primiarly tracking your hours at work, define a Client to be your company.

HOURLY BILLING RATE (HBR)
A new Client inherits the User's own HBR (Home > Settings). The Client rate can be edited further. A new Project inherits the Client's HBR. Any HBR (User, Client, Project or TBA) can be edited.

NEW PROJECTS
To create a new Project, click the Project+ button on the desired Client row found at Home > Lists > Client.

Projects

ACCESS
Tap Home > Lists > Project.

GROUND ZERO
All accountability in CPA is at the Project-level.

HOURLY BILLING RATE (HBR)
A new Project inherits the Client's HBR. The Project rate can be edited further. A new Time-based Allocation (TBA) has its HBR set to the Project's HBR.

NEW ALLOCATIONS
To create a new allocation of Time or Expense, tap the Time+ or Exp+ button on the desired Project row found at Home > Lists > Project.

CATEGORIES
Each Project can have customized Time- or Expense-based Categories. Active Users should review Auto+ and 1stPick Help Topics.

Categories

ACCESS
Tap Home > Lists, then Time or Expense.

CATEGORIES
Time allocations are assigned a Time-based Category, while expenses have an Expense-based Category to track the money.

AUTO+ and 1stPICK FEATURES
Both Time- and Expense-based Categories offer these two features. See Home > Help for more information on these features.

CUSTOMIZE YOUR PROJECTS
Assign specific Categories to a Project so only these appear when creating new TBAs or EBAs.

HOW TO SET CUSTOMIZATION
Edit any Project - and tap the relevant Customize Category button. Tap the Add button. The row's background will turn light gray. Tap the Delete button to undo the customization.

Filtering

ACCESS
Time, Expense & Report screens

LESS IS MORE
Filtering is helpful if you have numerous Clients and each Client has several Projects.

The Time, Expense & Report screens display (potentially) large data sets. Filtering limits these displays to a specific Client and/or Project.

HOW TO SET
Tap Filter by Client to limit data to a single Client; similarly for Projects. Tap Undo to cancel Filtering.

PERSISTENCE
Filtering is consistent across all screens, sessions and CPA updates.

SIDE EFFECTS
New records assume the filtered Client+Project relationship, if defined, as default values, as does the Custom Report.

Auto+

ACCESS
Time- & Expense-based Category lists

COMMON CORE
The Auto+ feature works the same for Time- or Expense-based Caategories. Categories marked Auto+ are automatically assigned to new Projects, creating, in effect, a customized set of Categories for the Project.

HOW TO SET
Tap the Auto+ button on the far right of each Category's row. The Auto+ tag will appear below the Category description. Turn Auto+ On/Off by editing the Category.

HINT
Activate Auto+ on 'generic' Categories you would use on all Projects., eg, Travel or Meeting.

BULK ASSIGN
See the 'bulk assign' buttons below each list. Inactive Categories cannot be set to Auto+.

1st Pick

ACCESS
Customized Project lists of Time- & Expense-based Categories

COMMON CORE
The 1stPick feature works the same for a Project's Time- or Expense-based customized Categories. A Project can have only one 1stPick assignment witin a Category.

PURPOSE
A Category designated '1stPick' will be the default Category assigned on a new Allocation within the associated Project.

HOW TO SET
Edit any Project. Tap the relevant Customize Category button. Tap the 1stpick button. The 1stPick tag will appear below the Category description, which becomes highlighted in red. Only one Category within a Project can be set to 1stPick.

HINT
Activate 1stPick on a Category frequently used within a specific Project.

Billing Rate Factor

ACCESS
The Billing Rate Factor (BRF) is limited to Time-based Allocations (TBAs).

PURPOSE
Adjusts an TBA's Billed Amt by multiplying the applicable Hourly Billing Rate (HBR) by the BRF. The BRF's default value is 1.00.

Essentially, the BRF is a multiplier that allows the HBR to be modified on a per-occasion basis.

HOW TO SET
Create a new TBA or edit an existing one. Tap the BRF button and select a value. Click Done. The Billed Amt will be adjusted.

HINT
Set the BRF to 2.0 for work done on holidays or overtime; set it to 0.50 for 'travel' time. Keep your HBR constant; adjust it, as needed, with the BRF on an 'as needed' basis within a specific TBA.

Punch Clock

ACCESS
New Time-based Allocation (TBA) only

PURPOSE
Initiates 'punch clock' format to record the time spent on a specific TBA (versus picking the Time from an Hour+Minute spinner).

HOW IT WORKS
The Punch Clock features appears on a new TBA when the following criteria are set: Project, Category and Date.

ACTIVATION
Tap the Punch Clock button to activate. Tap Start to begin - and Finish when done. If Auto-Save is On, the TBA will be automatically closed and saved.

I NEW IT
This feature is NOT available when editing an existing TBA; it is strictly limited to new TBAs.

HINT
Initiate the Punch Clock when doing research or similar 'quiet' work where clicking Start & Finish buttons is convenient - and won't be forgotten.

Time Allocation

ACCESS
Tap Home > Time to create a new TBA or edit an existing one.

TBA
A Time-based Allocation, which tracks a unit of time you have worked. It must be greater than 0.00.

DATA
Tap the various buttons to assign or edit data. Applicable default values will be assigned on new TBAs.

DEFAULTS
If Filter by Project is active, that Project will be the default. If a 1stPick Category is set for the Project, it will be selected as the initial, default Category to which the Time will be allocated. Today's date and BRF=1.00 are assigned on new TBAs.

ISSUE CREDIT
Set On for a refund or credit.

NO CHARGE
Set On if the Time is to be tracked but not charged.

PUNCH CLOCK
The Punch Clock appears when the *required* data values are set on a new TBA. See Home > Help > Punch Clock.

Expense Allocation

ACCESS
Tap Home > Expense to create a new EBA or edit an existing one.

EBA
An Expense-based Allocation, which tracks an expense you have incurred on a specific Project. The expense must be greater than 0.00.

DATA
Tap the various buttons to assign or edit data. Default values, where appropriate, will be assigned on new EBAs.

DEFAULTS
If Filter by Project is assigned, this value will be entered. The Project's 1stPick Category, if assigned, will be the default value for this Expense-based Allocation, as will the current date.

Reports

ACCESS
Tap Home > Report.

PURPOSE
View data over various periods: All, Past Week, Past 4 Weeks and Custom.

FILTERING
Must be activated to generate an Invoice.

CUSTOM REPORT
Tap the Client, Project, Category, Begin & End buttons to modify the Report criteria.

OUTPUT FORMAT
1. EXPORT - ASCII/tab-delimited file
2. INV-T - Invoice as text-based file (sent via email)
3. INV-E - Invoice embedded in email

INVOICE
An Invoice can only be generated for a single Client. Client and/or Project Filtering MUST be activated before an Invoice can be created.

DOUBLE-BILLING
An Allocation cannot be re-invoiced while it remains tagged to a prior Invoice. Edit the TBA or EBA to remove the existing Invoice or 'bulk-remove' the Invoice at Home > Tools.

Invoice

ACCESS
Tap Home > Reports. Tap INV-T or INV-E buttons.

The INV-E button generates an Invoice embedded in an email, the INV-T button creates an ASCII/TEXT-based Invoice attachment.

PIA
Previously Invoiced Allocation

INVOICE #
A unique Invoice ID is attached to the underlying Time- or Expense-based Allocations referenced in the Invoice.

DOUBLE BILLING
The initial Report screen reflects any relevent TBAs or TBEs, including Previously Invoiced Allocations (PIAs). PIAs are shaded gray and tagged 'INV'.

To prevent 'double billing', no Allocation can be re-Invoiced while it retains an earlier Invoice assignment. Edit an Allocation to remove the Invoice. 'Bulk' remove a specific Invoice at Tools > Undo Invoice. The underlying Allocations will NOT be deleted.

DISPLAY PIAs?
Toggle the PIAs' display at Tools > Addl Settings > Invoiced Data.

Metrics

ACCESS
Go to Home > Lists > Clients or Home > Lists > Projects. Tap any row.

Metrics provide a 'snapshot' of Client- or Project-based activity, whether Invoiced or not. Each Metric provides a count of how many TBAs and EBAs have been issued, along with summarized statistics. The Client metric includes how many Projects it 'owns'.

INVOICE-BASED ISSUE
The Metrics will distinguish between what work you have completed, whas has been actually Invoiced and what remains To Be Invoiced (TBI).

FEE-BASED PROJECTS
If you are working on a Project that is secured on a fixed-fee basis, the Project's Metrics can tell you the balance of hours remaining on the Project and offers a visual clue whether you are over-budget or not.

Enter the Project's Fee when creating a new Project or editing an existing one.

About

Overview

ContractorsPA (CPA) allocates the time and expenses incurred involving your daily Project(s). Time can be set from a spinner or a Punch Clock.

ALLOCATIONS
Time and Expenses are assigned to a specific Project. Each Allocation requires a Client+Project assignment, date, Category and amount of time or money spent.

CREATE CLIENT(S) FIRST
Add as many Projects as you need to each Client. The number of Client+Project relationships is unlimited.

HOURLY BILLING RATE (HBR)
Set your default HBR now at Home > Settings! New Clients inherit this rate.

LISTS
Initial Categories for assigning Time and Expenses are included.

SAMPLE DATA
MySelf is a Client+Project dataset included to facilitate understanding of CPA. It tracks the daily time you spend on Activities and Exercise.

Sample Data

ContractorsPA (CPA) installs with a sample Client+Project relationship. The single Client is Myself - and has two Projects: Activities and Exercise.

Use this sample data set to not only better facilitate your understanding of CPA before 'getting down to business' - but, as a practical matter, track the time you devote to your daily Activities and Exercise.

FEATURES
Note that Biking is the '1stPick' Time-based category; therefore, new TBAs will have 'Bike' as the default Category [See Home > Help > 1st Pick.] You can change the 1st Pick setting for a Project at any time. Note, too, that the Time-based categories for Activities differ from Exercise.

You can delete the Sample Data set. It can be re-installed at Tools > Sample Data.

Although the Myself data does not, practically speaking, require an HBR, set your own HBR at Home > Settings as your real-time Client+Project assignments require it.

Invoice

Go to Home > Report and tap the INV-T or INV-E buttons to create an Invoice. An Invoice is issued to a single Client involving one or more Projects.

TWO INVOICE FORMATS
1. INV-E generates an Invoice embedded in an email.
2. INV-T issues a TEXT file attached to an email.

FILTERING
An Invoice is issued to a single Client; therefore, Client- and/or Project-based Filtering *must* be effected to enable the INV-T and INV-E buttons.

DO NOT DISPLAY
To restrict the display of PIAs (Previously Invoiced Allocations), go to Tools > Addl Settings. This setting affects the Time, Expense and Report screens where data is displayed in a 'scrolling' table.

RE-INVOICING
You cannot re-invoice an Allocation that already has an Invoice assigned. To remove the existing Invoice, edit the TBA; or 'bulk' remove an Invoice (from the TBAs associated with it) at Home > Tools. Removing an Invoice does NOT delete the affected Allocations.

In Progress

[2016.02.12] ContractorsPA will add the following features:

BRF
Add to Time-based Categories, eg, allowing Travel to be set to 0.50, on new records. The default will be 1.00.

MINIMUM CHARGE
Add to Time-based Categories, eg, allowing you to set the 'default' time spent Walking Dogs at 1.0 hr, or your frequently-offered Basic Training Session to be entered as 4.0 hr on new TBAs; otherwise, the initial Time assignment, in hours, by Category, is the Project's Minimum Charge value. The default will be 0.0 hr.

HANDLING CHARGE
Add a %-based surcharge or handling fee to any Expense-based Allocation. The default will be 0%.

COPY RECEIPT
Photograph your Expense receipt.

IMPORT CATEGORIES
'Bulk' import an ASCII/text file of Time- or Expense-based Categories to a selected Project.

Acronyms

Acronyms are a practical requirement within the limited visual confines presented by a smartPhone.

The needs of ContractorsPA are focused and minimal. We are tracking two daily, very common activities: time worked, along with the expenses incurred.

The Category describes how the time or money was spent; it is one aspect (of several) of a specific Allocation.

Keyboard Usage

Keyboard usage is discouraged within ContractorsPA. It's simply not convenient to take extensive notes with this app: this is a conscious design-decision.

LIMITED SCREEN
Screen 'real estate' is too limited to effectively display extensive notes.

NOTES
Notes are limited to the first 36 characters of the entire Note when outputted to an Invoice.

CLIENTS, PROJECTS and CATEGORIES
Keep your names and identifiers short; otherwise, they may force text off the screen.

KISS

Do the 2Tap

In some typical Time-based Allocations, it takes just two taps to create and save the record.

To illustrate this, we will use the Exercise Project within the Myself sample dataset. Imagine you walk daily for an hour. Here's how to effect 2Tap for superfast 'saves'.

CUSTOMIZATION, 1stPICK & MIN CHARGE
Go to Lists > Project. Tap Exercise. Tap Time below Customize Categories. Scroll down to Walk [If the row is NOT gray, tap the Add button to create/amend the TBCs for Exercise.]. Tap 1stPick on Walk. Tap Project and return to Exercise. Set the Min Charge to one hour. Tap Save.

2Tap is now 'in play' for Exercise.

DO THE 2TAP
On Lists > Project, tap the Time+ button on Exercise to create a new record for Exercise with today's date and an hour' walk allocated. Tap Save.

Two taps and you're out!

Allocations

TIME-BASED ALLOCATION (TBA)
TBAs represent discrete units of time that you have worked, eg, 15 minutes or 12.58 hours. It is a 'block' of time completed. A TBA requires a Project, date, TBC and amount of Time worked.

TIME-BASED CATEGORY (TBC)
TBCs are 'buckets' which describe how the time was spent, eg, Programming, Service Call or Tax Prep. They are of a 'durational' nature.

EXPENSE-BASED ALLOCATION (EBA)
EBAs are expenditures you have incurred on a Project. You expect to be re-imbursed.

EXPENSE-BASED CATEGORY (EBC)
EBCs classify the expense, eg, Postage, Taxi. or Fee.

WARNING
If the Allocation requires a new Project, create the Project BEFORE adding the Allocation. An Allocation MUST be attached to a pre-existing Project.

1st Pick

1stPick allows you to set a 'default' Category for each Project. Projects can have different 1stPick values assigned.

The discussion of 1stPick applies equally to TBCs and EBCs; thus, a Project can have a two 1stPick assignments: one for Time and one for Expenses.

1stPick-assigned Categories are useful if you find yourself frequently creating TBAs for the same Project, each of which has the same Category set.

For example, you are a writer and edit articles received from one Client throughout the week. Editing is immediate, leading to numerous TBAs. Create a TBC called Edit; then a customized TBC list for the Project. Add Edit to it and set Edit as the '1stPick'.

When you create a new TBA for the editing, the default TBC will be Edit. If Edit is not applicable, change the Category before saving the new TBA.

Auto+

Auto+ allows you to identify commonly-used TBCs or EBCs - and pass them onto each new Project you create. This, in effect, creates customized Categories for the new Project.

If you have numerous Projects and notice that many of your TBAs (or EBAs) use the same Categories for many of your Allocations, you should set Auto+ On for these specific Categories.

As a semi-related aside, it's advantageous to create customized Categories for each Project you manage. The benefit is that you have a more limited list of Categories to choose from when creating an Allocation - the ones that are specifically applicable to the Project you are creating the Allocation for.

The number of Categories set to Auto+ is unlimited. The feature applies to both TBCs and EBCs.

Source

Each Time- or Expense-based Category has a Source field. This value indicates where the record originated.

All initial Categories, whether a TBC or an EBC, come from a pre-defined list contained within ContractorsPA. When you initially open ContractorsPA, you can identify three different Sources: Default, Exercise and Activities.

These lists - and others - are found at Tools > Categories. These 'sets' represent industry-specific lists that include Categories for THAT industry to which many Allocations might be assigned.

These offer you a convenient starting point but should not be considered necessarily complete. You can supplement these basic lists with your own entries.

If you, as User, create a new Category record, the Source is set to User. If you change ANY existing Category's name, the Source is set to User, as well.
